1) EF enrollment for retirees is now OPEN

From now until 7 PM CT on Dec 29, 2018 update your Enrolled Friends for the next travel period (Jan 1st to June 30, 2019). Go to [email protected], log in and click on the “Travel tab”; then click on “Manage pass riders”.

If you don’t have any changes to make then no action is needed (your current EFs will automatically roll over).

All retirees should have received an email from the ETC about Enrolled Friends. If you did not then check your junk/spam folder and make sure your contact information with United is up-to-date (go to FT > employee services > Health & Insurance YBR > Your Profile in the upper right).

2) employeeRES “New” is now LIVE!

The New employeeRES is now available on Flying Together for pass travel listing, loads and travel management. It has a look/feel similar to united.com, it’s mobile-friendly and there are cool new features including:

Flight Watch: monitor up to 10 different segments

Open Search: see flights with most available seats to a destination

Potential Misconnects: how many revenue passengers may miss your flight myUAdiscount: prices displayed right in employeeRES!

Go to [email protected], log in and then click on the Travel tab. Notice both “employeeRES New” and “employeeRES” in the left column are currently active. We highly recommend you use “employeeRES New” right away. While there, click on “Personal Profile” to confirm all information transferred over OK; also, check your “Traveler Profiles”. In a few weeks all traffic will be directed to “employeeRES New”.

United sent retirees an email about the New employeeRES. If you did not receive it then check your junk/spam folder and make sure your contact information with United is up-to-date (go to FT > employee services > Health & Insurance YBR > Your Profile in the upper right).

Dear United Retiree,

As an eligible retiree, you can update your enrolled friend(s) now through 7:00 p.m. CT on Dec. 29, 2018 for the Jan.1 through Jun. 30, 2019 travel period. If you don’t make any updates, your current enrolled friend(s) will carry over to the next travel period. If you don’t have any changes to make, then no action is needed.

The calendar year for retiree’s pass travel enrollment is broken into two travel periods, Jan. 1 – Jun. 30 and Jul. 1 – Dec. 31. You can select enrolled friends any time before the next travel period begins, by going to our Dependent Management System and selecting the “Manage Election” link in the Action column.

What you can do

  • Choose the names of your enrolled friend(s) for the Jan. 1 through Jun. 30 travel period, from a list of current and inactive pass riders
  • Uncheck a current enrolled friend to leave a slot empty on Jan. 1, so you can add someone later
  • Add a new enrolled friend to an available empty slot to be eligible for travel starting Jan. 1

Add a new enrolled friend

To add a new enrolled friend, you must remove an inactive enrolled friend from your profile before you can add someone new for the upcoming travel period. Keep in mind that once a new travel period begins, your current enrolled friend(s) can be removed but cannot be replaced within the same travel period. Follow these steps to remove an inactive enrolled friend so you can add a new one during the pass travel enrollment period or leave the slot open to add during the next travel period.

1. Click on the purple “ i “ information icon next to the inactive enrolled friend’s name

2. Click the Remove Dependent link from the Detail Summary section

3. Click Save when prompted

Friendly reminders

  • Know your friends. If you are providing enrolled friend status to individuals who are not your family members, they must be your own close, personal friends. Enrolled friend status cannot be sold or bartered.
  • Names must match. Your enrolled friends’ names must match exactly what appears on their travel documents (i.e., driver’s license or passport).
  • Invoices for tax withholdings. Any federal and state withholding taxes that apply to your taxable pass travel income will be collected via quarterly invoices. Failure to pay an invoice may result in a suspension of your pass travel privileges until the invoice is paid. See the W-2 pass travel tax reporting page to learn more.
  • Keep your mailing address up to date. To view or make changes, use the “Update Mailing Address” link in the Detail Summary section of the Dependent Management page. Note: You will be redirected to the Your Benefits Resources website to enter your changes. See page 6 of the W-2 pass travel tax reporting and billing user guide to learn more.

    We expect that the Employee Travel Center will experience higher-than-normal email and call volumes related to pass travel enrollment. We ask you to please refer to the helpful information section on the Pass Travel Enrollment for Retirees page on Flying Together and refer to our questions and answers and a video tutorial before you call or email so that our representatives can best assist everyone.

RUPA Members:  Latest up-date from United.

To: United retiree organization leaders Greetings, Starting Monday, Dec. 4, eligible retirees have the opportunity to update their current enrolled friends during the year-end pass travel enrollment period.  You are welcome to share this information on your respective organization website and newsletter. The pass travel enrollment period is between Dec. 4 and Dec. 28 (until 7 p.m. CT).  Note: There will be a scheduled Dependent Management System outage from Friday, Dec. 1 through Sunday, Dec. 3.  During the outage you will not be able to add or delete pass riders from your pass travel profile or access the pass travel enrollment tool. During the enrollment period you can:

  • Choose your 2018 enrolled friend(s) names.
  • Remove them to open an available slot to be able to add someone later in 2018.

No changes?  No action. If you do not wish to make any changes for 2018, you do not need to take any action.

  • Current enrolled friend(s) and spouse/domestic partners will automatically rollover.

New for retirees in 2018! Beginning in June 2018, retirees will have the opportunity to change their enrolled friend(s) twice: mid-year and again during pass travel enrollment. Starting in June 2018 One enrollment period per year Year-end enrollment: Dec. 4 – Dec. 28 (until 7 p.m. CT). Travel January through December the following year. Register maximum of two enrolled friends for entire year. In addition to current year-end enrollment Mid-year enrollment: Jun. 1 – Jun. 28 (until 7 p.m. CT). Travel July through December of the current year.   Change one or both enrolled friends per each six-month period or keep the same two for the entire year. Friendly reminders:

  • Know your friends.  If you are providing enrolled friend status to individuals who are not your family members they must be your own close, personal friends and cannot be sold or bartered.
  • Names must match. Your enrolled friend’s names must match exactly to what appears on their travel documents, i.e. driver’s license or passport.

  • Be sure your mailing address is up to date.  If you need to make a change, go to http://www.ybr.com/unitedor contact the Employee Travel Center from 7:00 a.m. to 7:00 p.m. Central Time, 7 days a week, at 1-877-UAL-ESC9 (from the U.S.) or 1-847-UAL-ESC9 (outside the U.S.), or through United ServiceAnywhere.

11/11/15 – ZED travel moves to one platform; new airlines being added We have begun transitioning all of our other-airline ZED agreements to the myIDTravel platform. Not only will this give you a one-stop, streamlined process, but you will be able to view flight statuses with happy, sad or neutral face indicators, see the policies and procedures from the other airlines and request a refund, all within the same tool. (If a particular carrier doesn’t use myIDTravel, you will still be able to buy tickets through the tool, though you won’t be able to view their loads.) With this new tool we recently introduced our first Brazilian carrier for pass travel, Azul (AD), and have reinstated agreements with Scandinavian Airlines (SK) and Air France (AF). Two new carriers—Virgin Australia (VA) and Virgin America (VX)—are coming by year-end; we’ll be reinstating Hong Kong Express (UO); and we are negotiating with additional carriers to give you even more travel options. In 2016 we will be reviewing all our travel agreements with the intention of adding business cabin whenever possible. However, some carriers don’t offer business class to their own employees and therefore can’t provide it to us.

 

7/14/15 – Login credentials for the United Pass Line The United Pass Line (UPL) allows employees and retirees to create bookings, check Passenger Boarding Totals (PBT) and check ePass balances through a voice response phone system.   When an employee or retiree calls the UPL they will now be asked for their six-digit uID number  and password of the last four-digits of their social security number, which has changed from a five-digit subsidiary Continental ID number (if applicable) and the birth date as the password. Please note:  All employee applications now accept a six- digit uID number. We understand while some applications still accept a five-digit subsidiary Continental ID number, it is strongly recommended to begin using your uID.   In the near future (date still to be determined) the sunset of subsidiary Continental ID numbers will occur.

To find your uID if you don’t know it:

  1. Go to the Flying Together homepage.
  2. Move your mouse over your name at the top of the screen:  Welcome “Your Name”.

3.     View your uID on the pop-up. 7/1/15 – Questionable pass charges There have been instances where retirees traveling on a pass felt they were charged fees which did not seem to be in accordance with our pass travel policies. Anyone  who is charged a fee for travel that they do not believe is proper should notify the Employee Travel Center at email [email protected], phone is 877-825-3729 and/or the payroll deduction center at [email protected]. Keep in mind that even though fees and charges are waived for coach travel for all employees and retirees and for first/business class for those with more than 25 years service, certain fees, charges and taxes may be charged to the pass traveler for international travel. If there is a question about any of these charges the employee travel center or the payroll deduction center should be able to help. An explanation of how these charges may be applied is contained on the United flying together website ( http://flyingtogether.org) under the Travel section (found in the blue banner at the top of the Home page), Travel Policies then Fees, charges and taxes. NOTE: All pass riders, regardless of seniority, have to pay departure taxes and fees. These usually accrue when departing foreign countries.
